Business Expenses - Spend Data Mapping
This section allows you to assign each supplier to the appropriate Trace Category, ensuring accurate emissions calculations. You can also indicate whether the emissions from a supplier have already been offset.
How do I know how much mapping is completed?
On the left panel, you’ll see a list of all accounts, each showing the number of suppliers mapped versus the total suppliers. A progress bar at the top indicates the overall completion percentage.
How are suppliers displayed on the mapping screen?
- The left container lists all accounts with mapping progress.
- The right container displays suppliers for the selected account, including:
- Supplier Name
- Spend Amount & Currency
- Trace Category (with dropdown selection)
- "Is Offset" Checkbox (to mark emissions already offset)
What happens when I click "Map whole account"?
The "Map whole account" button allows you to apply the same Trace Category to all suppliers in the selected account, saving time.
How does the system automatically map suppliers?
When you access the mapping screen for the first time for a data source, the system runs an AI-driven process that attempts to pre-map suppliers. Mappings are done with high confidence, but we recommend reviewing them for accuracy. The AI improves over time, so repeated mappings help train the system for future automation.
Why do some suppliers have pre-filled Trace Categories while others do not?
Some suppliers can be easily identified based on their account and name (e.g., "Atlassian" under "Subscriptions" is mapped to "Software subscriptions").
However, other suppliers require manual selection if:
- The AI was unsure about the best category.
- The supplier could fit into multiple categories.
- The supplier’s expense might be excluded from emissions calculations.
What do the "Excluded" categories mean?
Some expenses should not be included in emissions calculations. These are categorized under Exclusions, such as:
- Out of Scope – When you don’t have authority to introduce and implement operational, health & safety, or environmental policy over an emissions source, it can be considered out of scope (Eg; taxes or admin fees).
- Activity Data Used – If you're adding activity data for this emissions source elsewhere in the portal, you can exclude this spend. For example, if this spend is on fuel but you want to add litres of fuel.
- Relevance Test – Not significant for emissions impact.
- Contractors Included in Staff Headcount – Contractors that are included in your FTE headcount and where you’ve accounted for their commuting and/or business travel emissions, can be excluded to avoid double counting.
Can a supplier appear under multiple accounts?
Yes. Since mapping is done at the account level, the same supplier may appear in different accounts and needs to be mapped separately.
What should I do if a supplier has multiple currency transactions?
If a supplier has transactions in different currencies, each currency type appears separately with its total spend. You need to map each currency together as one.
What should I do if I’m unsure about a mapping?
- Hover over the Trace Category dropdown—some categories include tooltips for guidance.
- Refer to your financial records to confirm the correct classification.
- Contact support if you're unsure how to categorize a supplier.
How does marking a supplier as "Offset" affect calculations?
Checking the "Is Offset" box indicates that the emissions related to this supplier have already been offset. The system will account for this when calculating your total emissions footprint.
