How do I map rent / property lease expenses?
If your company has operational control of the leased space (you operate it day to day):
-
Provide Scope 1 activity data for any onsite fuel use (for example natural gas for heating).
-
Provide Scope 2 activity data for purchased electricity, steam, heat, or cooling (ideally kWh for electricity).
-
In the expense mapping screen, set the rental / lease expense to “Exclude - Activity data used” because the emissions are being captured via Scope 1 and 2 activity data, not calculated from the rent spend.
If your company does not have operational control (the landlord or another party operates the building):
-
Map the rental / lease expense to Scope 3, Category 8: Upstream leased assets.
-
Where possible, still prefer activity data from the landlord (for example allocated kWh or building level energy), but categorisation remains Upstream leased assets when it is not in your Scope 1 and 2.

Trace's approach
-
Trace AI automatically maps any recognised rental data to 'Exclude - activity date used' to avoid double count
- You can overwrite this at any time in the Expenses mapping screen.
